(Specialty: Foot & Ankle Care, Regenerative Therapy)

Full-Time HIPAA-Compliant Healthcare Virtual Assistant (Front Desk)

Introduction

Dr. Rishi Mahajan Case Study

Dr. Rishi Mahajan runs a growing foot and ankle practice focused on helping patients avoid surgery through regenerative therapies. Leveraging cutting-edge technology like the Remy Class IV Laser, his clinic offers innovative treatments for tendon tears, diabetic nerve pain, and toenail conditions — all while striving to provide high-touch, unrushed care.

"We're trying to go down a regenerative medicine path and keep patients out of surgery... not only for pain but for things like tendon tears," Dr. Mahajan explained. "That requires time, precision, and a great patient experience."

But there was one major obstacle blocking his path to consistent growth: front office dysfunction.

Numerous Problems

Missed Calls, No-Shows, & Staff No-Shows

Dr. Mahajan wasn't always in the office, and when he wasn’t, chaos often followed. "We were running into issues where we were having staff that just wasn’t showing up on those days they were supposed to show up," he said. Inconsistent staff coverage, missed messages, and unreturned patient calls created disorganization and tension — both internally and externally with patients.

It wasn’t just a people problem. It was a systems problem. Despite his clinical excellence, the office environment lacked reliability at the most critical patient entry point: the front desk.

And the first attempt to implement a Virtual Assistant (VA) wasn’t perfect either.

"I kind of let my front desk train her, but I realized they didn’t train her very well," Dr. Mahajan admitted. Without a structured onboarding process, internal staff had little motivation to engage the new support, which created friction and confusion.

The Solution

Virtual Assistant Services for Administrative Support

A Dedicated Virtual Assistant Who Showed Up Every Day and Is Ready to Work

That’s when snapscale stepped in — not just to provide a VA, but to help Dr. Mahajan rethink his office workflow

After working with snapscale’s team to define detailed task responsibilities and communication standards, everything began to shift.

The difference was immediate: faster response times, fewer missed messages, and consistent office presence for patients. The VA, Venice, became more than a remote hire; she became part of the team.

"It definitely brought stability to the office... Venice is there 40 hours a week answering the phones. If anything comes up, she messages us so we can respond in a timely fashion," said Dr. Mahajan.

Results: More Responsiveness, Better Care, and Room to Grow

  • doneImproved patient communication — Calls, emails, and texts are now answered consistently.
  • doneReduced internal stress — No more surprises or no-shows.
  • doneClearer roles — On-site and virtual teams operate with clearly defined duties.
  • doneMore time for innovation — Dr. Mahajan now has more headspace to invest in his regenerative practice growth.

"Long story short, I think we have a lot better of a patient-centric model... Patients are getting their calls returned faster, someone’s on the phone more frequently, and we’re just more responsive."

Specialty Spotlight

Regenerative Foot & Ankle Therapy

With front office chaos under control, Dr. Mahajan is pioneering a less invasive future in foot and ankle care. His team uses Remy Class IV laser therapy in conjunction with PRP injections to treat tendon tears, neuropathic pain, and even aesthetic conditions like toenail fungus — all with the goal of helping patients avoid surgery and return to life faster.

snapscale’s support behind the scenes enabled his practice to focus on clinical excellence and patient needs without operational distraction.
